Every experiment carried out at the Australian Synchrotron (by staff or by users) must have a completed Experimental Authorisation form filled out ahead of beamtime.

ALL samples and chemicals being brought on site must be listed on this EA.

Finding the EA forms

  1. Log into your Portal Account

  2. Navigate to Experiment Authorisations section and click ‘Create and Manage’

  3. On the ‘Manage Experimental Authorisations’ page, select ‘Create EA’ to start the process. The forms are accessible here.

Filling out an EA

  1. Provide contact details for all users in the experiment

  2. Answer the general questions about your experiment

3. List your samples on the main form of the EA

4. FOR PX EXPERIMENTS:
Fill out the PX sample spreadsheet provided. You will need to mark all hazards and list crystallisation conditions for each sample.

5. FOR CX EXPERIMENTS:

You will need to fill out the Synchrotron Sample Safety Information Sheet for each sample/chemical being brought on site.

How to complete EA spreadsheets

The EA spreadsheets have been updated as of Run 1, 2022. New EA spreadsheets have black headings.

Please do not copy and paste from old EAs, as this will erase the formatting of the new sheets!

You must complete the following sections:

Sample Name - each sample you are bringing on site/sending ahead of time must be listed

Physical, Health, and Environmental Hazards -you must indicate any of these hazards using the appropriate Hazard Statement code. For more details, see Hazard Statements section.

Additional Hazards - you must mark each relevant box with an 'x'

Beamline Specific Questions - you must provide answers to the questions listed in this section for each sample

If any box on the spreadsheet turns orange, you must consult your beamline scientist or the Synchrotron safety team about your experiment before submitting your EA.

If any box on the spreadsheet turns red, you must complete an SDS or GHS Summary Report (ChemAlert) and a risk assessment of your experiment in addition to the completed EA.

Hazard Statements and Carcinogens

New EA spreadsheets have two additional sheets:

Higher risk haz. statements

This sheet has a list of Hazard Statement codes for higher risk categories. If your sample has one of these risks, list the Hazard Statement code in the relevant column. eg. my sample is fatal if swallowed, so I list “H300” under the Health Hazards heading.

Prohib. Restrict. Carcinogens

This sheet contains a list of prohibited and restricted carcinogens. If your sample includes one of these carcinogens, you must speak with beamline staff before your experiment.

Submitting an EA for review:

When you have completed your EA, you will submit it for review by a) the User Office, b) your beamline scientists, and c) Facility safety managers. Any problems noted during this review process will be highlighted and you will be asked to resubmit forms if additional information is needed.

ONLY samples and chemicals listed on your EA can be brought on site.

ONLY scientists listed on the EA can collect data.

Because we are high throughput and frequently deal with frozen samples, MX EAs are different to general facility EAs.

Protein Crystallography (PX)

☢ If you are bringing RADIOACTIVE frozen material ☢

Contact beamline staff.


❄ If you are bringing/sending FROZEN SINGLE CRYSTALS ❄

Mark that you are bringing non-hazardous, single frozen crystals when asked in the Portal
(Q1, Q2 and Q3).
No further actions needed.


🧪 If you are bringing/sending trays for preparation/hand mounting on site 🧪

Mark main hazards in the Portal
AND
complete the PX Sample Spreadsheet and indicate hazards according to the spreadsheet instructions.

Chemical Crystallography (CX)

MX EAs during COVID-19:

As a safety measure during the COVID-19 pandemic, a maximum of 6 users can attend a given experiment on site, with a maximum of 3 users present at one time.

Masks are compulsory on site at the Australian Synchrotron.

A total of 15 users can be listed on each EA and can collect remotely.
