The Australian Synchrotron is excited to introduce the User Hub: a new, more secure gateway to User systems.

Arriving at the User Hub

When you navigate to the User Hub (https://userhub.synchrotron.org.au/) you will be asked to sign in using your current Portal credentials

If you don’t have an existing Portal account, select ‘Need an account?’. This will open a page where you will be prompted to fill in your details to make an account. You’ll need to provide your name, your home organisation, and contact details.

Once you’ve completed all the compulsory fields, you can create a User Hub account.

Please note that User Office staff cannot create an account for users anymore. If you are a new user, you are required to create your own account via the UserHub.

The User Hub has ‘tool tips’ to help you navigate the systems. Click on a question mark icon in the User Hub to get more information about the page you’re on or the input the page is expecting from you.

User Hub Profile Page

When you sign into the User Hub, you can click on Hello, (your name) to access your profile page.

From here, you can update your personal details, contact details, and even add a profile picture! Can’t find a picture you like? Click the randomise button to get a random Synchrotron-themed icon for your profile instead.

The Dashboard

Once you’ve signed in, you’ll arrive at the User Hub Dashboard. From here, you can navigate to your profile, User systems, and the Legacy Portal.

New Tools

There are three main new tools that you can access from the User Hub: Travel Grants, Accommodation Booking, and Visa Documentation

Travel Grants

This tool allows you to submit applications for Travel Grants

Click through to Travel Grants and select New Application to start a travel application. The User Hub will prompt you to check that you are eligible and have approval from your home organisation/institute first.

On this page, fill in the experiment you are traveling for (select from the dropdown), and select the Funding Contact (this is the person who will be the point of contact for this grant). Add individual applicants by clicking New Member and select where they will be traveling from. The total estimated value of the grant will update in the box on the right.

Once you have completed your details, either click Create Draft to save but not submit, or click Submit to submit the application.

On the Travel Grants page, you can find previously submitted applications, pending applications, and drafts. Click the Filters icon next to New Application to bring up the display filters, and sort according to what you’re looking for. You can also search by EPN or proposal title.

The righthand column indicates whether a Guest House accommodation request has been submitted for this experiment. Clicking the link will take you to the relevant accommodation request.

Accommodation

This tool will allow you to book Guest House accommodation for your beamtime.

Click through to Accommodation and select New Application to start an accommodation request. The User Hub will prompt you to check that you are eligible for free Guest House accommodation.

On this page, fill in the experiment you are requesting accommodation for (select from the dropdown), and select the Request Contact (this is the person who will be the point of contact for this request). Request a Guest House room by clicking Add Room. Select what type of room you are requesting, input your Check-In and Check-Out dates, and add people to each room using the Update Members pop-up. The number of complimentary rooms you are entitled to is listed in the box on the right, and as you add more rooms and members to your request, they will update in this box.

Once you have completed the request details, either click Create Draft to save but not submit, or click Submit to submit the application.

The righthand column indicates whether this experiment has travel funding. Clicking the link will take you to the relevant travel grant application.

Visa Documentation

This page will generate a pdf letter from the Australia Synchrotron in support of visa applications for the purpose of attending beamtime.

Click through to Visa Documentation and select the relevant experiment from the dropdown menu.
