When users are shipping samples internationally into Australia for Australian Synchrotron beamtime, the shipment must be accompanied with the following import documents:

These documents can be obtained through the lab manager. A copy of the documentation should be attached to the outside of the package in an envelope labelled: “Attention: Australian Customs and Biosecurity”. Please also take note of the guidelines set out in the manufacturer’s declaration below as there are strict rules that Australian Customs and shipping companies abide by.

IMPORTANT NOTE: As of 2025, FedEx and DHL no longer verify physical shipments for documentation. All documents must be submitted electronically as per the respective requirements below:

  • For FedEx shipments:
    In addition to attaching all documents to the package, electronic copies of all documents must be emailed along with the FedEx tracking number to aucdndoc@fedex.com.

  • For DHL shipments:
    All documents must be emailed as a pre-alert to melquarantine@dhl.com before shipment.

ANSTO Import Permit

The import permit is issued for the import of biological products. If the permit expires during the beamtime shipping period, a new permit must be requested from the AS lab manager.

Cover letter

The cover letter is an official document authorising the use of the ANSTO import permit. It is signed by the lab manager on an official letterhead and should not be edited.

Manufacturer’s Declaration

The Manufacturer’s Declaration is essential for customs clearance and release of the shipment. It contains a list and description of samples, the relevant permit sections under which the shipment is arriving, and the declarations required under the permits.

A template will be supplied with the permit and cover letter to be filled out. The manufacturer’s declaration must be created using your company’s letterhead. It must also abide by the following guidelines:

  • Must be in English.

  • Printed on the manufacturer’s letterhead

  • The letterhead must include both the company name and address in text format; logos alone are insufficient.

  • Signed and dated by an employee, with their full name, position, and title in the company.

  • Issued and dated within the last six months.

  • Must include a reference to the waybill number (FedEx or DHL).

For companies using DHL, please make sure to address the following:

  • If the document is multipage, number all pages and reference the waybill number on each page.

  • Must clearly state the identity and origin of the shipment:

    • Animal (state full scientific name)

    • Plant (state the full botanical/scientific name – including Genus and Species)

    • Microbial (state full scientific name)

    • 100% Synthetic

    • Mineral

    • Brand New (empty containers must not contain heparin/biological materials)

    • For biological materials, include:

  • Include 100% ingredients list with percentages by dry weight.

  • Include Processing details (e.g., heated, cooked, or baked at specific temperatures)

  • End use/intended use of the goods (if for testing must state what type of testing)

  • No labels
